Events and exhibitions bring together large numbers of people in temporary structures that often lack permanent fire protection systems. From trade shows and exhibitions to weddings and concerts, event organizers in India must ensure adequate fire safety for their attendees. This guide covers the essential fire safety considerations for temporary events and exhibitions.
Fire Risk Assessment for Events
Before any event, a fire risk assessment should be conducted. The assessment should consider the type of event and activities planned, expected number of attendees and maximum capacity, venue type and construction materials of temporary structures, fire hazards present including cooking, heating, and electrical equipment, number and width of exits, availability of fire safety equipment, access for emergency vehicles, and special risks such as fireworks, pyrotechnics, or flammable displays. The risk assessment should identify measures to reduce fire risk to an acceptable level. The event organizer is responsible for ensuring fire safety, even when the venue is a hired space. Many venues require event organizers to submit their fire safety plan before approving the booking.
Temporary Fire Extinguisher Requirements
Events and exhibitions must have adequate fire extinguishers for the temporary occupancy. The required number and type of extinguishers depend on the event size, nature, and fire risks. At minimum, ABC dry powder extinguishers should be placed at each exit, near catering and food preparation areas, near generator or electrical distribution equipment, in exhibition halls at intervals not exceeding 15 meters, and near any stage or performance area. For outdoor events where wind could disperse dry chemical powder, consider CO2 extinguishers as backup. For events with cooking, provide appropriate kitchen extinguishers or fire blankets. All temporary extinguishers must be properly mounted or placed on stable stands, clearly visible, and accessible. Ensure extinguishers are protected from weather if outdoors. Check extinguisher pressure and condition before the event starts.
Electrical Safety for Events
Temporary electrical installations at events are a common cause of fires. All electrical work must be performed by qualified electricians. Use proper cables rated for the expected load, not household extension cords. Protect cables from foot traffic using cable ramps or covers to prevent damage. Ensure generators are placed in well-ventilated areas away from combustible materials and public access. Do not overload circuits. Use distribution boards with circuit breakers for each circuit. Keep all electrical equipment protected from weather and moisture. Ensure all electrical installations comply with the Indian Electricity Act and relevant standards. Have a qualified electrician on standby during the event to address any electrical issues. Inspect all electrical installations before the event opens to the public.
Fire Safety for Wedding Events
Weddings in India are elaborate affairs with large guest lists and extensive decorations. Fire safety should be a priority for wedding organizers. Use fire-retardant fabrics for mandap decorations, drapes, and tent linings. Keep open flames from diyas, candles, and fire pits away from fabric decorations, drapes, and guest seating areas. Ensure adequate exits from the wedding venue and that they are clearly marked and unobstructed. Place fire extinguishers at key locations including near the mandap, catering area, and exits. If fireworks are planned, use a licensed fireworks operator and ensure the firing area is at a safe distance from guests, vehicles, and temporary structures. Have a fire safety volunteer or professional on duty throughout the event. Brief all wedding staff on fire safety procedures including how to guide guests to exits.
Fire Safety for Concerts and Stages
Concerts and stage performances have specific fire safety requirements. Stage curtains and backdrops should be made of fire-retardant materials or treated with fire-retardant chemicals. Pyrotechnics and special effects using fire must be handled by licensed professionals with proper safety measures. Keep fire extinguishers at each side of the stage and in the backstage area. Ensure adequate exits from the stage area for performers and crew. Keep all flammable materials including fuel for generators and spare scenery away from heat sources and public areas. For indoor concerts, verify that the venue fire alarm system is operational and covers all areas. For outdoor concerts, ensure fire truck access to the stage area is clear. Brief all performers and crew on fire safety procedures. Have medical personnel on standby to treat any burns or smoke inhalation.
Exhibition Booth Fire Safety
Exhibitors at trade shows and exhibitions must follow fire safety rules. Booth construction materials should be fire-retardant or treated with fire-retardant chemicals. Do not block sprinkler heads, fire extinguishers, or exit signs with booth walls or decorations. Keep electrical wiring within booths neat and use proper connections. Do not overload electrical outlets. Store combustible materials like brochures and packaging away from electrical equipment and heat sources. Ensure there is a clear pathway from each booth to the nearest exit. Do not store personal items or packing materials under booth tables where they can accumulate and create fire hazards. Follow all venue fire safety rules and cooperate with venue fire safety inspections. Report any fire hazards to event organizers immediately.
Emergency Planning for Events
Every event should have a written emergency plan. The plan should include evacuation procedures and exit routes from all areas, communication methods for alerting attendees and staff, designated assembly points outside the event area, procedures for accounting for all staff and performers, roles and responsibilities of event staff during an emergency, procedures for assisting people with disabilities, coordination with local emergency services, and a communication plan for informing attendees families and the media. The event announcer or MC should be trained on emergency announcements. Have a first aid station with burn treatment supplies. For large events, coordinate with the local fire department and have them on standby if possible. Event staff should receive a briefing on the emergency plan before the event starts.
